LTS Olin Conventions 
A. Items lacking usable LC-type call numbers (core and full level cataloging) and Items in non-book formats and microforms
- Verify that the bibliographic record matches the item in hand(including format), using LCRI 1.0 Edition or Copy. If the record doesnot match, process as two-check original cataloging, or when necessary,return to Acquisitions Services with a problem flyer for furthersearching.
- Scan the bibliographic record for mistakes in tags orfiling indicators, and typographical errors. Add |dNIC to the 040 fieldif you make corrections in the record. Correct only obvious mistakeswhich would affect access.
- Update the MFHD record, assigning a call number based on LTS Olin Conventions for the location in question (e.g. LC-type call number, accession number, etc.). Add 866 and 867 fields as appropriate.
B. Multivolume works and books with accompanying material (for added volumes, see LTS procedure #6)
- Verify that the bibliographic record matches the item in hand(including format), using LCRI 1.0 Edition or Copy. If the record doesnot match, process as two-check original cataloging, or when necessary,return to Acquisitions Services with a problem flyer for furthersearching.
- Scan the bibliographic record for mistakes in tags orfiling indicators, and typographical errors. In addition, be alert foradditional bibliographic information appearing in later volumes thatmay not have been included in the bibliographic record at the time oforiginal cataloging (for example -- a change in editor or publisher insubsequent volumes). If new information needs to be added to thebibliographic record, do so. Do authority searching for additionalheadings, consulting original cataloger as appropriate. Add |dNIC tothe 040 field if you make corrections or additions to the record.Correct only obvious mistakes which would affect access.
- Update the MFHD record based on LTS Olin Conventions for the location in question. Add 866 fields, 867 fields and enumeration to item records as appropriate.
C. Items rejected from fastcat for other reasons (e.g. access problems on LC CIP)
- Verify that the bibliographic record matches the item in hand(including format), using LCRI 1.0 Edition or Copy. If the record doesnot match, process as two-check original cataloging, or when necessary,return to Acquisitions Services with a problem flyer for furthersearching.
- Scan the bibliographic record for mistakes in tags orfiling indicators, and typographical errors. Fix the problem thatexcluded the item from fastcat treatment, doing authority searching forheadings you may need to add or change, consulting original catalogeras appropriate. Add |dNIC to the 040 field if you make corrections oradditions to the record. Correct only obvious mistakes which wouldaffect access.
- Update the MFHD record, assigning a call number based on LTS Olin Conventionsfor the location in question (e.g. LC-type call number, accessionnumber, etc.). Add 866 fields, 867 fields and enumeration to itemrecords as appropriate.
D. Final steps
- Add appropriate 948 field to bibliographic record (see LTS Procedure #26, Recording statistics) to track your activity.
- Create item record if there isn't one already (see Creating and Editing Item Records in the Voyager Manual) and follow LTS Olin Conventions for pre-physical processing of the piece(s) in hand. Be careful to change the copy number in item record as appropriate.
- Writethe call number in pencil on the inside cover in the top left cornerfor hardcover books or in the center of the t.p. verso for paperbacks,making sure to allow for binder's trimming. Adjust as necessary. Forexamples of how to write call numbers in items, see Call number examples.
- When catalogers are sending items that should be bound together to Conservation for treatment, they should note the treatment in the appropriate area of the location flyer. Also, a grey "special handling" flyer should be placed in the item to alert Conservation staff of the special handling.
- Place all items on the appropriate Physical Processing trucks.
