LTS Web Team Minutes, 9/25/2006

Present:  Jim Alberts (chair), Matt Connolly, Lois Purcell, Nancy Solla, Ardeen White.  Absent: Betsy Elswit

1. TS Web Directory Updates - We discussed the protocol for updating the LTS Staff Contacts page and decided that we would wait until the supervisor had sent out an email to the department.  Ardeen will take the information from that email and use it to add a new employee, or change a current employee's information, if that's the situation.  Lois has already done this for the most recent staff changes.  We also discussed the fact that the languages list will need to updated if a new staff member has language skills that must be recorded there.

2. NetAdmin Assignments and Schedule - Nancy will take responsibility for maintaining these pages.

3. Printing - Matt has investigated this issue and found that we can do the following:

We could use a "flag" which tells CommonSpot what to show or not show on a page.  We could create a link to a version of the page to be printed where we use this flag.  The only problem with using this technique is that we are unable to remove the side navigation bar, and important content may still be displaced such that it may be cut off on the right side of the document.  The solution to this problem would be to define the side navigation bar in the base template, but that code is buried deep in the bowels of CommonSpot and Matt can't get to it to edit it.

Another idea would be to create an alternative version of every page on the website using a new template, but it was generally agreed that this approach would be very labor-intensive.

The best idea we have so far is to teach users to select the content they want to print, paste it into a Word Pad document, and print it from there.  This seemed to be a more scalable solution.  If we decided to go with this solution, we might contact Cynthia Rich and ask her to write a "Tip of the Week" explaining how to do this.

Matt will talk with Jim Reidy to confirm that there isn't some better solution.

4. "What's New" Items - Nancy will contact Karen for documents to link to for the presentations she made on her recent trip.  Jim will investigate finding a document to link to for the presentation she made last Thursday.  We are still discussing the "philosophy" as to how the "News" section should be handled.  There are 2 categories of items that may be placed in this section: presentations made by staff, and news articles.  We agreed that Jim would be responsible for ferreting out the presentations that should be placed in the News section.  We discussed sending out a periodic reminder to the LTS community to ask people for their news items.  Jim will talk with David and ask him to present our questions to the Senior Management Team regarding news articles.  Who should be responsible for writing them?  Do they need to be vetted?  If so, who should review them?

5. Links to minutes on Staff Web - We discovered that clicking on the links to LTS committee minutes sends the user to the LTS home page. Jim will contact Jenn Colt Demaree and ask her to update these links to the new pages in the LTS site.

6. Discussion of assignments for maintenance points - We began a discussion of what parts of the site need consistent maintenance, and who would be assigned to each of these "maintenance points."  We agreed to look at the site for our next meeting to be sure that we have covered all the points which need constant maintenance.  So far we have agreed to the following assignments:

LTS Web Team Minutes - Meeting minutes are created by each staff member in turn.  The recorder will be responsible for posting the minutes they took.
