TSWeb Procedures Team Minutes, Mar. 17, 2006

CommonSpot implementation

Jim A. reported that Michal Jacyna is in the process of creating the TS Web site in CommonSpot. He is working on it together with Melissa Kuo and Jim Reidy. Although the site will be easy to add to once it’s up, the initial programming is complicated. The CommonSpot version of the site may have the top-level table of contents for the Procedures on a separate page from the rest of the Procedures content, but on that top page there will be a navigation bar to lead the user to the rest.

The group agreed that we would like to have a joint meeting with the Design Group again soon, so as to catch up with them on what they’re doing. An inputting form for the Procedures should be ready in the next two weeks.

Current work on the Procedures and Documentation content

Jim A. has started adding the front matter to the Voyager Manual documents in the Procedures. Groups of Voyager tables, etc. that are closely interrelated won’t need to have front matter for every table.

We discussed the question of who is to be the contact person for the Voyager Manual documents. Ardeen White has agreed to be the contact for the basic Voyager procedures, such as creating an item record. Some of the Voyager tables and other documents have other contact people listed, though. We’ll try to spread the responsibility around so that no one person is overburdened.

Meanwhile, Lois has been doing cleanup on the Voyager procedures, including getting rid of the Example level, which was originally created as a separate level in the Technical Services Manual. It will no longer be a separate level in the TS Web Procedures.

Upcoming meetings and pending issues

We also discussed the difficulty that some people outside of LTS (Library Technical Services) are still having in finding information and contact people within LTS. At the ACTS (Advisory Council on Technical Services) meeting this past week, it was mentioned that this difficulty is a subject of concern in some quarters. ACTS will discuss this issue some more at its next meeting.

Lois pointed out that we will need to be careful about what we archive. We mustn’t totally get rid of anything that people will need to refer back to, but at the same time, we do want to prevent obsolete documentation from being found on Google and assumed to be current. We might identify obsolete documents by adding a header to them saying they are obsolete.

Meanwhile, Jim A. reported, he and Nate Rupp will meet with LTS Group 3 (the group consisting of all LTS supervisors and department heads except for Karen Calhoun) next week. He and Nate will also meet with Karen Calhoun next week.
