| TSWeb Procedures Team Minutes, Dec. 2, 2005 Present: Jim Alberts (chair), Margaret Nichols (recorder), Lois Purcell, Jim Spear, Debra Warfield Update on SMT meeting Jim A. reported on the recent LTS Senior Management Team (SMT) meeting that he and Nate attended. SMT is in favor of integrating Voyager procedures into the LTS Procedures. The Voyager procedures can still be identified as such, but should be integrated. SMT also suggested that the "keeper" of a given procedure should be the person who is responsible for that procedure, not the original drafter. Instead of the word "Drafter" in the front matter of each procedure, they suggested "Contact:" followed by the person's name, hotlinked to his/her e-mail address. We will need to go back and identify who is responsible for each procedure. Lois and Deb volunteered to do this work in January, since they plan to go back through all the procedures then anyway. Some procedures may have two contact people. Some personal names in the body of the procedures still need to be replaced with job titles. SMT suggested that the supervisors of the people in question should be able to supply their job titles, which can then be hotlinked to their e-mail addresses. Front matter for procedures Jim A. will talk with Jim LeBlanc about who is to create front matter for the administrative procedures. He and Lois will work on adding front matter to the procedures that still need it. Jim A. will also start to work on integrating the Voyager procedures. Front matter needs to be added to these. Also, we assume that all the relevant Voyager procedures will be reviewed after the Unicode upgrade. We decided to discuss this topic at a Working Group on Cataloging meeting and ask for volunteers to update the Voyager procedures that will need it. Jim A. will create the front matter for Procedure 3, following the most recently created procedures in the use of italics, boldface, etc. in the front matter. Reorganizing procedures by LTS unit We agreed that the question of who decides what will go where on the TS Web site needs to be clarified. Lois noted that some people had been having a hard time finding a given document on the current TS Web site, especially when the search engine was inoperable. Apparently staff didn't realize that "Technical Services A-Z" was the link to the site index. We can clarify this by renaming the link "Index A-Z." Also, with the search engine now working properly, any indexed document should be easier to find. The name and nature of the A-Z Index will remain under discussion as we move to CommonSpot. Jim S. agreed to start reorganizing the procedures, grouping them according to the four new units of LTS, for next week. The current administrative procedures in the LTS Procedures are actually for Olin only. Some of these procedures will need to have separate sections for different libraries. Discussing this point brought us back to the question of whether administrative procedures should be integrated into the LTS Procedures as they are now. We decided they can be just another section of the Procedures, just as Administration is a unit within LTS. |
