Update on discussion with Jim LeBlanc

Jim discussed Thursday’s meeting with Jim LeBlanc, who advocated setting up a menu-driven form for inputting front matter for the procedures that can be used to generate metadata. He also noted the potential importance of being able to do keyword searches on only the procedures. He suggested using pull-down menus to control entry for certain fields, such as functional unit and date.

Jim L. generally suggested making the procedures as "user-friendly" for the inputters as possible, in order to increase the likelihood of buy-in from staffers across CTS to take on procedure creation and maintenance. Jim suggested very limited editorial oversight and allowing potential creators considerable latitude in how to enter data.

Jim L. also suggested that we start editing the procedures where they are and maintain an online list or spreadsheet to chart the progress of procedure review and copy-editing.

Group members noted the "CTS problem," and agreed that we have to look at the context of usages of CTS to determine the correct replacement, LTS, Olin LTS, or another formulation.

Jim S. noted that different locations currently perform certain tasks slightly differently. We agreed to table discussion of specifics for later and flag such instances as we come across them in editing the procedures.

Group members discussed the problem of links within procedures to other pages hanging off procedures pages but not linked otherwise. We agreed that link maintenance and checking of linked pages would be an ongoing part of the procedure review process.

Deb noted the problem of inconsistent capitalization of MFHD and other acronyms. She also noted that there are some outside links (e.g., to a currency converter) in the receipt and payment procedures.

We agreed to divide up the procedures and review and copy-edit them using Dreamweaver, with a tentative time frame of two weeks for completion.
