TS Web Maintenance Team
Meeting Notes: December 13, 2004

1. Moving content for WGC and TESG from StaffWeb to TSWeb
Michal has a WGC site ready for TSWeb and will have a TSEG site ready by mid-January. We will need to run both sites by their appropriate groups for approval and ask whether or not they want us to have the content taken down off StaffWeb and just have links to TSWeb content in place there. If they do want us to do that, we'll touch base with the StaffWeb administrator to have that done. Once each of these sites are up, we will need to ask the conveners of these groups to encourage their minute takers to send the minutes to the appropriate member of the TSWeb team for posting on the web site and to include only a link to the minutes (rather than the minutes themselves) in their email to staff.
2. Continued TSWeb development
The group expressed interest in redesigning the front page of TSWeb, and, specifically, redesigning (doing away with?) the rollovers and adding more content--much like the CUL Gateway. We'll touch base with Karen Calhoun about whether this should be a goal for the group next spring or whether any redesign should be a part of a larger redesign (including color scheme, inclusion of new CU logo, how the site fits in with the implementation of the CommonSpot content management system, etc.) best left to next year's Maintenance Team. We may wish to design a user survey that could solicit feedback from staff at CUL and, in addition, solicit feedback from tech services units at other universities; both types of feedback could inform any redesign taken on by next year's Team.
3. Training for next year's Team
We began to think about how to prepare for the most seamless transition between this year's Team and next year's. One way is to finalize the training document that Michal has been putting together as he has worked with Jim on the current web site. [After the meeting, Michal forwarded the document to us for our review; he will use our comments to write a final version of the document and expects to have that done by the end of January 2005.]
4. Recommendations for next year's Team
The discussion about training for next year's Team led into a discussion about the skills required for members of that team. Those actually working with the web site should have experience in using HTML, some other kind of programming experience (i.e., JavaScript), and experience using Dreamweaver. It was thought that a staff member new to CUL Technical Services might be best for this. This person should possess basis web design and HTML authoring experience; in addition, working on the site would provide an opportunity to learn about CUL Tech Services.
